Gate Pass

A gate pass records a vehicle at the warehouse boundary. It captures vehicle number, driver and transporter, and links to the ASN it is delivering against. Outbound gate passes link to a load instead.

Where the warehouse is flagged for cold chain or GDP, the gate pass also captures temperature, humidity and a GDP compliance confirmation.

Advance shipment notice
Inbound โ†’ ASN

An ASN is raised before goods arrive and is the document receiving works against โ€” a receipt cannot exist without one. It carries the storer, PO number and date, expected arrival, and a line per product with UOM, quantity and lottable values.

HS code is not typed on the ASN. It is read from the product's regulatory master when the product is selected, so the customs classification on the document always matches the master.

Force-closing an ASN
Partial receipt, closed deliberately

When a delivery is short and no more is coming, the ASN can be force-closed. The action is only available once the ASN is partially received, and it requires a typed reason, which is written to the audit trail alongside the status change.

Force close marks the document complete while quantities are still outstanding. The shortfall stays visible in reporting rather than disappearing.

Receiving
Inbound โ†’ Receiving

Receiving is the physical count. Each line is received against its ASN line, capturing quantity, lottable values, pallet id and inventory state. A putaway location can be assigned at the point of receipt or left for the putaway step.

Lottable fields configured as mandatory must be filled before a line will confirm. Dates are captured in ISO form.

Serial capture at receipt
RF-driven, per unit

Where serial control is required, individual serial numbers are scanned during receiving on the RF device rather than typed on the web. Captured serials attach to the received line, which is what makes later serial-level traceability possible.

A GRN prints as a PDF carrying the receipt barcode, header detail, the received lines and signature blocks for handover.

Receiving lines also export to a spreadsheet with product code, UOM, ordered, received and remaining quantities, pallet id, batch, inventory state and location.

Quality hold
Inbound โ†’ QC

Stock received into a quality-hold state is listed for inspection and is not available to allocate. Releasing or rejecting a line moves it out of hold; rejected stock can be routed to a scrap request rather than back into sellable inventory.

Putaway
Inbound โ†’ Putaway

Putaway moves received stock into storage. It can be driven two ways:

  • By LPN or pallet โ€” scan the pallet id and every item on it loads together
  • By receipt โ€” select the receipt and work through its pending lines

The system suggests a location. Where a storer is configured to force the suggestion, the operator cannot override it โ€” which is how a warehouse enforces a slotting policy it has agreed with its client.

Cross-dock
Inbound โ†’ Cross Dock

Cross-docking sends inbound stock straight to an outbound order without a storage step. Lines are flagged for cross-dock while the ASN is being built, each with a quantity, a staging dock location and a destination reference.

On receipt those lines allocate automatically. Progress is tracked on its own screen with a dedicated KPI view.

Cross-dock is per warehouse. It only appears where the warehouse is flagged for it.
